1. Terms & Conditions of Hire
(Effective July 2025 – Berkshire Sound Hire / Flyer5k t/a)
Day Rate Hire Terms
Day rate is charged per 24-hour hire
(e.g., 00:00 Saturday – 23:59 Saturday or 14:00 Monday – 13:59 Tuesday)
Coverage Area & Surcharges
We are NOT limited to the listed areas we delivery anywhere within reason in the UK with mileage charged as per your location.
This is a guideline to your delivery & set up fees.
Most of the listed areas fall within our standard delivery zone which is 20 mile coverage of RG4 postcode (Reading).

Outside 20 miles: £25 each way per additional 10 miles.
Returns & Collection Issues

30-minute grace period at collection.

After that, a full extra day’s hire fee is charged + minimum £60 for return collection.

Equipment not returned within 2 days: billed for 2 extra days + invoiced for full replacement cost.

These charges come out of your refundable deposit.
-
Any extra balance must be paid immediately.
-
Unpaid after 2 days = legal proceedings.

Contact us in advance if your collection times change.
Refundable Holding Deposits
-
Typically refunded by the end of the next working day or within 24 hours of receiving your bank details.

Are Made payable via Bank transfer and should be completed at least 48 hours before hire date.

If Requested and approved Card deposits may incur a 4% admin fee.
-
PayPal not accepted unless pre-authorised (admin fee applies if used without permission).
Booking Confirmation
A booking is only confirmed once:

The full hire fee is paid

The refundable deposit is received when it is a hired item, (does not apply to DJ Hire Bookings, see DJ Hire clause below)
Security Deposit Requirements (Applicable to Dry Hire Only)
Equipment hired are usually subject to an additional refundable deposit payment as listed on website below each hire item

High Risk Items Such AS DJM800/900 / CDJ900/2000 / XDJRX3: £500–£1,000 deposit per unit, SL1210 £450 deposit per unit,

Damage = repair costs or replacement cover will initially be deducted from refundable deposit

Further Repairs/replacements costs must be paid upon invoice within 30 days to avoid legal proceeding being made against labile party
Lost, Damaged, or Dirty Equipment Charges

Cancellations & Postponements

Hire fees are non-refundable, even if you cancel.

Refundable Deposits (This is deposit paid as a holding / security deposit prior to the booking for when / whilst the equipment is in use by you and not to be confused with a down payment or an instalment payment) These deposits are refundable if cancellation is made by client.

To postpone: contact us 30 days in advance.

Less than 30 days = hire fee lost + new payment required.
-
We are not liable for cancellations due to force majeure.
Down Payments & Instalments
-
50% non-refundable down payment required to reserve.
-
If 50% is under £100, a minimum £100 applies.
-
Balance due 48 hours before event.
-
If not received: booking is cancelled, and service won’t proceed.
Customer ID Requirement

Valid photo ID must be shown at time of booking.
-
We may keep a digital copy securely until the hire ends, then delete it.
Sound Engineer Hire (Optional)

LED Furniture / Rechargeable Lights

Red Carpet Hire

Must be returned clean (light dirt acceptable)

Heavy soiling or staining, cigarette burns = cleaning/replacement cost (deducted from deposit)

We are not liable for injury, damage, or claims due to misuse
2. WEATHER, OUTDOOR USE & SAFETY
-
Outdoor use = you must protect equipment from rain/water
-
Must be under suitable cover (gazebo, tent, etc.)
-
Certain items must not be used in high winds or unsafe surfaces
-
We may cancel/remove equipment for safety
-
We are not liable for accidents due to misuse or unsafe setup
Projector screens are not suitable for out doors due to windy nature unless used within a 4 sided marquee to protect blowing over in the wind these must also only be placed on a flat surface
Portable array speakers and speakers on stands must not be used at maximum adjustable height in outdoors windy conditions they must be lowered to a more suitable and safer height for safety
Gazebos must be used with appropriate weights for safety, those using gazebos without recommended weights do so at there own risk of injury and damage to the gazebo in adverse weather conditions such as high winds.
3. DJ BOOKINGS – SPECIAL TERMS

If you wish to proceed with any DJ bookings, (which includes DJ-Only Bookings, DJ with equipment packages, such as our 4 Hour DJ Package Basic, 6 Hour DJ Package Basic, DJ Package Standard, DJ Showcase Package Diamond) the following terms apply.
Full payment upfront or 50% deposit required
Balance due 48 hours before the event
DJ booking is only confirmed when full payment is received, and date will be still available to other parties until payments have been settled
DJ-only deposits are non-refundable
To change your event date, contact us at least 30 days in advance
We will try to accommodate your new preferred date, subject to availability and your payment can be used against a new date so long as you have contacted us with changes at least 30 days minimum prior notice
Less than 30 days = loss of original booking fee + new full payment required
We are not responsible for cancellations or postponements due to force majeure (weather, acts of God, etc.)
A new hire fee will apply for any rebooking which we have not been made aware of your intent to change with 30 days prior notice
